We are seeking a bright and professional legal assistant to work with our lawyers and support staff in the property and housing and litigation department in Putney. The legal assistant will provide administrative support to the department and assist partners, solicitors and other fee earners with all aspects of their casework. This role requires previous experience of working in legal aid and public enquiries.
The team is friendly and informal and the work is interesting and varied. 

Main purpose of job:

  • To provide specified support on identified long-term client projects (including assisting the team on a Public Inquiry in relation to which we are instructed by several Core Participants that is likely to be ongoing until at least mid 2021) or retainers (e.g. managing a caseload of residential possession claims for large-scale landlord clients).
  • To provide specified support on individual cases as necessary, on a mix of publicly and privately funded matters.  
  • To provide specified support to your team, as identified from time to time (e.g. assisting with large disclosure exercises or document management on major cases/projects; assisting with legal aid applications or amendments; client care tasks or assisting with billing).

    Main duties

  • The role is that of a fee earner undertaking identified chargeable work with a personal time and fee target.
  • The exact nature of the work undertaken will vary according to the specific requirements of the team in which the Legal Assistant is based. It might include taking instructions from clients; obtaining and collating paperwork; attending meetings to take minutes; drafting correspondence, court documents, witness statements; analysing, collating, preparing note/reports on disclosure; preparing legal help bills and reporting monthly figures to the LAA; and clerking Public Inquiry or court hearings.
  • The role will involve client contact.
  • A substantial part of this role will be involvement in a high profile Public Inquiry. This will require attention to detail, and the ability to work to tight deadlines and to work within a large team.
  • The requirements will be subject to the direction of departmental partners and may be expected to change over time.
  • To liaise with appropriate third parties as necessary including the Legal Aid Agency, expert witnesses including surveyors, Occupational Therapists and/or other medical professionals.
  • The nature of the work will also vary depending on the experience and expertise of the particular Legal Assistant.
  • Legal Assistants will be expected to carry out non-chargeable work in addition to the chargeable work required. This may include, but is not limited to, assisting with new enquiries, assisting with legal aid administration and reporting, providing assistance with marketing activities and undertaking appropriate training.
  • Legal Assistants will generally be expected to be self-supporting in terms of typing and administration and will have an hourly rate and fee target set accordingly, but where it is commercially justifiable they may be provided with appropriate administrative and/or typing support.

Key personal characteristics

  • A careful person able to understand particular tasks well and perform them to a high standard with excellent attention to detail.
  • Good inter-personal skills to build rapport with clients, particularly those that might have been through a traumatic event. 
  • Knowledge of some IT systems and databases that we use, ie Relativity, SOS and CCMS, would be an advantage, although training will be given if required.
  • An enthusiastic and energetic person wishing to improve their skills and experience.
  • A person who may have a particular higher level skill such as accounting or IT.
  • A person who will make a full contribution to the dynamic operation of their team.
  • They will take responsibility for their own success and to provide good value to clients in the legal services they provide.
  • They will be prepared to participate fully in training and activities designed for Legal Assistants across the firm.

Document production

  • Proficient in the use of Microsoft Office tools, specifically Microsoft Word (advanced) Microsoft Excel (intermediate).
  • To use Multi-Function Devices (MFDs) and/or copiers for the purpose of copying, scanning, printing and finishing.
  • To produce accurate documents in accordance with the Firm’s style and standards whether originated by audio dictation, email or manuscript drafts or from existing saved documents.
  • To produce routine reports internally and externally.
  • To assemble and/or check electronic or printed documents including accurate proof reading.
  • Assembling, paginating, indexing and copying Court bundles.
  • To have a good standard of written English and solid numeracy.

    Record keeping

  • Thorough knowledge of and timely adherence to the Firm’s physical and electronic file opening and archiving procedures, including the use of temporary storage of files.
  • To ensure that files (both physical and electronic) are efficiently, accurately and regularly maintained.
  • Proficiency in the use of the Firm’s File Management software (and any subsequent document management system that may be introduced) to file and maintain emails in appropriate client directories.
  • A thorough knowledge of and timely adherence to the Firm’s file maintenance procedures.
  • To be able to accurately and quickly enter electronic data.
